Role Overview
The Accounts Administrator will be responsible for the end-to-end Accounts Payable function while supporting the wider financial operations of the business. The role will involve close collaboration across the accounts team and will evolve over time to include broader reporting, analysis, and financial responsibilities, particularly within a project-based construction environment.
Key Responsibilities
Accounts Payable (Core Function)
- Oversee the end-to-end Accounts Payable (AP) process, ensuring accuracy, completeness, and timeliness from invoice receipt through to payment
- Ensure purchase orders (POs) and purchase invoices (PIs) are processed accurately and aligned with agreed terms and project budgets
- Act as a key point of contact for escalated supplier queries and support resolution of discrepancies
- Prepare and process weekly/monthly supplier payment runs, including allocation in the accounting system and issuing remittances
- Maintain oversight of supplier and subcontractor records within the accounting system to ensure accuracy and completeness
- Oversee creditor reconciliations prepared within the team, ensuring discrepancies are identified and resolved in a timely manner
- Supervise and support day-to-day AP processing activities, ensuring adherence to internal controls and deadlines
- Identify opportunities to improve AP processes, controls, and efficiencies
- Work collaboratively with team members responsible for day-to-day AP processing to ensure the smooth and efficient operation of the function
Construction & Project Costing
- Allocate costs accurately to projects, ensuring correct coding and cost tracking
- Monitor project-related expenditure against budgets and highlight variances
- Support the tracking and management of subcontractor payments, including verification of supporting documentation
- Liaise with project and commercial teams to ensure alignment between financial data and project progress
- Support cost reporting on live projects to aid commercial decision-making
Reconciliations & Financial Control
- Perform monthly balance sheet reconciliations and investigate variances
- Reconcile aged creditors listings to balance sheet accounts
- Reconcile bank accounts on a weekly and monthly basis in line with the month-end schedule
- Review credit card statements to ensure all transactions are appropriately authorised, supported by documentation, and compliant with company policies, investigating and resolving any discrepancies
- Review and analyse P&L nominal accounts to ensure correct postings, VAT treatment, and project allocation
- Prepare and post month-end journals, including accruals and prepayments, to ensure accurate monthly reporting
- Maintain and update the fixed asset register, including posting depreciation journals
- Post and manage recurring journal entries to ensure completeness of financial data
- Ensure all relevant costs are captured and accurately reflected in advance of monthly P&L reporting
Cash Flow & Interdepartmental Coordination
- Support cash flow management by forecasting creditor payment obligations (+1/2/3 months)
- Liaise with accounts receivable and commercial teams to align incoming receipts with outgoing payments
- Arrange and post bank transfers as required to support business cash flow
Financial Reporting & Support
- Support the preparation of monthly, quarterly, and annual financial and management accounting reports
- Assist with budgeting, forecasting, and financial planning activities
- Provide financial analysis to support business decision-making
Compliance & External Liaison
- Prepare and submit VAT returns in compliance with Revenue requirements
- Assist with year-end audit processes and respond to audit queries
- Liaise with external auditors, tax advisors, banks, and other stakeholders as required
Systems, Processes & Continuous Improvement
- Assist in the implementation and maintenance of financial systems and internal controls
- Support the Finance Director with ad-hoc reporting and finance-related projects
- Contribute to the continuous improvement of processes, procedures, and financial controls
- Work collaboratively with team members to strengthen knowledge and capability across the accounts function
General Responsibilities

- Provide flexible support across the finance function as required
Pay: €30,000.00-€45,000.00 per year
