The Senior Executive Assistant (EA) to the CEO is a strategic business partner providing high-level executive, operational and administrative support to the CEO and across the Omnipro Group of businesses. This is a business-facing role at the centre of how the organisation runs day to day: protecting the CEO’s time, driving execution, anticipating needs, and ensuring that commitments, decisions and details are consistently followed through.

The role demands exceptional discretion, organisational leadership, sound business judgement, and the ability to manage complex, competing priorities in a fast-paced executive environment. The EA is expected to work proactively rather than reactively — anticipating problems before they arise, building and documenting reliable systems, and taking genuine ownership of projects through to completion.

The EA also leads a small support function: supervising a Junior Assistant (who handles personal, lifestyle and lower-level administrative tasks) and coordinating a team of AI agents that carry out routine digital administration. Over time, the EA increasingly operates as a coordination, delegation and quality-control point — ensuring work is delivered to a high standard regardless of who, or what, performs it.

Roles and Responsibilities

  • Own and optimise the CEO’s calendar, protecting and prioritising executive time.
  • Manage the CEO’s communications — email, Microsoft Teams and messages — with timely triage and response.
  • Act as gatekeeper and liaison between the CEO and internal and external stakeholders.
  • Set up and coordinate meetings, sales calls, webinars, follow-ups and company events.
  • Track leadership action items and chase commitments from team members through to completion.
  • Maintain Monday.com and support the delivery of Group implementation projects.
  • Coordinate Connext administration, renewals, invoicing, and domestic and international travel.
  • Produce executive documents, presentations and content using Microsoft 365, Canva and AI tools.
  • Supervise the Junior Assistant and coordinate the AI agent team that handles routine digital admin.
  • Document processes and build repeatable systems across the executive office.

1. Qualifications & Education

  • Essential: Strong general education with excellent written and numerical literacy.
  • Desirable: A qualification in business administration, office management or a related discipline.
  • Desirable: Training or certification in executive support, project coordination or productivity tools.

2. Experience & Track Record

  • Essential: Minimum 7–10 years’ experience supporting senior executives or C-suite leaders.
  • Multi-Entity Support: Experience supporting across multiple companies or business units preferred.
  • Diary & Priority Management: Proven track record managing complex calendars, communications and competing priorities.
  • Execution & Follow-Through: Demonstrated experience coordinating projects and tracking actions to completion.
  • Supervision: Experience supervising junior staff or coordinating a support function is an advantage.

3. Key Technical Competencies

  • Microsoft 365: Advanced proficiency across Outlook, Word, Excel, PowerPoint and Teams.
  • Digital & AI Tools: Confident user of Canva, AI productivity tools and social media platforms.
  • Project Tools: Experience with project management software (Monday.com or similar).
  • Systems & Process: Ability to build, document and maintain reliable, repeatable processes.
  • Business Administration: Sound understanding of business administration and basic financial admin.

5. Other Requirements

  • Must be available to work on-site in our offices in Ferns, Wexford, with flexibility for last-minute and occasional out-of-hours executive support.
  • Attendance at company events throughout the year is required.
  • Unquestionable ethical standards and integrity.
